Who we are
Holding the Space is an independent initiative founded and led by Dr Yaz Iyabo Osho. This notice explains how we handle personal information collected through this website.
Information we collect
We collect information you choose to give us when you use one of our forms:
Contact — your name and email address, and the message you send us.
Get Involved — your name and email address, and, where you choose to provide them, your organisation, role, areas of interest, relevant links, and a description of your interest.
Sponsorship and Partnership — your name, organisation and email address, and details of the type of support or partnership you’re enquiring about.
Join the Community — your name and email address, and, where you choose to provide them, your organisation and the areas you’re interested in. This form also has a separate, optional checkbox if you’d like to be contacted about future Holding the Space updates.
We only collect what you choose to submit through these forms.
How and why we use it
We use the information you provide to:
- respond to your enquiry or message;
- consider expressions of interest in getting involved with Holding the Space;
- discuss and manage potential sponsorships or partnerships;
- contact you about future Holding the Space updates, but only if you’ve asked us to by ticking the relevant box.
We do not sell your personal information.
Lawful bases
We rely on the following lawful bases under UK data protection law:
Legitimate interests — for responding to your enquiries, considering expressions of interest, and managing potential partnerships. We consider this a fair and proportionate way to run a small independent initiative, and it doesn’t override your rights and interests.
Consent — for sending you optional future-update communications, where you’ve actively chosen to opt in.
Steps taken at your request before entering into an agreement — where relevant to discussions about a sponsorship or partnership.
How form submissions are stored
When you submit a form on this website, your information is:
- stored in the website’s WordPress database; and
- sent by email to holdingthespaceconference@gmail.com, so we can respond to you.
How long we keep information
We keep form submissions only for as long as we reasonably need them:
General enquiries (Contact form): up to 12 months after the enquiry is resolved.
Get Involved expressions of interest: up to 24 months.
Sponsorship and Partnership enquiries: up to 24 months after our last meaningful contact with you, unless a longer period is needed because of an active agreement.
Community registrations of interest: until you withdraw your consent, or after 24 months of inactivity.
Records are reviewed and deleted manually when they’re no longer needed.
Who information may be shared with
We don’t share your information with third parties for their own marketing purposes. Your information may be processed by the service providers that help run this website and its forms, such as our website hosting and form-handling software. We don’t currently use a mailing-list provider, CRM system, or analytics service.
Cookies and analytics
We do not currently use any analytics or tracking cookies on this website. The website may still use essential technical functionality needed for it to work correctly. If we introduce analytics or other tools in future, we’ll update this notice to explain what’s used and why.
International processing
Some of the service providers that support this website may process information outside the UK. Where that happens, we’ll rely on appropriate legal safeguards to protect your information, as required by UK data protection law.
Individual rights
You have the right to:
- ask what personal information we hold about you;
- ask us to correct inaccurate information;
- ask us to delete your information;
- object to how we’re using your information, or ask us to restrict it;
